There are two ways to receipt income on the software. Use the Manual Receipt method for single receipts or part payments, and the Bulk Receipt method when processing more than one receipt at a time.
Manual Receipt
Use this method for a single receipt against a customer, or if the customer has only partially paid an invoice.
Go to Receipts.
Click on Manual Receipt.
Select the bank to receipt the income into.
Select the period and date for the receipt.
Select the customer that paid. There will already be a sales invoice on the system for this customer.
Enter a description of the receipt. This is a free text field — enter anything relating to the receipt.
Enter a reference, e.g. BACS receipt, cheque number, or date of receipt.
Enter the receipt amount.
Click on Income Matching underneath the receipt value. This opens a new panel showing all credit notes and invoices for that customer.
Click the relevant invoice(s) to match them to the receipt, ensuring the matching total on the right-hand side shows 0.00 before clicking Match.
Click Submit.
A green confirmation message will appear to confirm the transaction was successful.
📌Note: If a customer has made a part payment, Income Matching will not be available until the payment has been received in full.
Bulk Receipt
Use this method when entering more than one receipt at a time.
Go to Receipts.
Click on Bulk Receipt.
Select the bank to receipt the income into.
Enter the paying in slip number.
Click Submit a new paying in slip. This can be anything if all receipts were made via BACS.
Work through the list, selecting the invoices and credit notes that correspond to each receipt.
Click Process to go to a confirmation screen showing the credit notes and invoices being receipted.
Click Submit.
A green confirmation message will appear to confirm the transaction was successful.
