The Access Evo navigator screen is your personalised home screen in Access Evo. It brings together quick actions, priority tasks, notifications, and useful information from across your Access products into one place. It appears as the first tab in Access Evo and is available in your browser and on the Access Evo mobile app.
This guide focuses on finance in the navigator screen, the everyday finance tasks you can do directly from your navigator screen, such as approving purchase orders, invoices and requisitions, checking budget status, and finding customer or supplier records.
Much of this functionality already exists in Access Education Finance. The navigator screen brings it together in one place and makes it quicker to get to. You can still do these things in Access Education Finance as you do today - navigator is a redesigned, quicker way in. Other navigator features sit outside the scope of this guide.
Everything in this guide works the same way whether you're on a desktop browser or the Access Evo mobile app.
📌Note: This functionality is part of the paid, upgraded Evo Everywhere tier. We are rolling it out to customers over the coming months as a free trial. If you would like access sooner, please speak to your Account Manager, who can discuss whether and early trial is available to you.
Download the Access Evo App
Your navigator screen lives inside the Access Evo mobile app, as well as in your desktop web browser. It is free to download and works on both IOS and Android devices.
Scan the QR code, or search for Access Evo on your phone's app store.
Tap Get or Install - it is free.
Once downloaded, open the app and sign in with your usual work login details.
Your app will open to your navigator screen.
From here, you can customise your default apps.
Forgotten your password?
On the sign-in screen, tap Forgot password?
Enter your work email address and tap Send.
Follow the link in the email you receive to reset your password.
🤓Tip: Verify your junk or spam folder if the password reset email does not arrive within a few minutes.
Push notification
When your first open the app, you will be asked whether to allow push notifications.
These are used to alert you when a finance task needs your attention. You can change this preference at any time in your device Settings.
Get around the navigator screen
You'll come across four main areas in this guide:
Quick Actions : shortcuts at the top of your navigator screen for things you do often ( one tap to open).
Quick Panels : fuller views that open over navigator with more detail and history. These will show in the more tab in the mobile app.
Action Required : cards that appear when something needs you to do something needs you to do something ( approve a request, acknowledge a document).
Evo Feed : your notification centre. Available as a Quick Panel, from the Access button at the top of Evo, and as mobile push notifications. Holds the wider record of everything you've been notified about; Action Required is the subset that needs your attention.
You can pin and reorder both Quick Actions and Quick Panels to suit how you work.
Approve finance documents
When a purchase order, invoice or requisition needs your sign-off, it's flagged for you automatically in Evo Feed; feeds that aren't actioned immediately are collected under the Action Required section, no separate login and no report to run to find it.
Approve a Purchase Order ( Feed Notifications/Action required)
Purchase orders awaiting for approval land directly in your Evo Navigator screen in Feed section; ones that need you to act sit in your Action Required list too. If you have the mobile app , you'll also get push notifications; check your mobile push settings if you're missing them.
Check your Budget
Check Budget Status ( Quick action )
See the remaining balance against a cost centre in seconds, without running any report first.
Budgets Exceeded notifications ( Feed notification )
When a cost centre exceeds its configured budget, you'll receive a notification directly in your Evo Feed. There's no separate report to run and no need to check individual budgets to find out, helping you to identify overspending sooner and take action where required.
The notification tells you:
The school and cost centre affected.
The amount the budget has been exceeded by.
The relevant cost centre and ledger details.
The original budget amount.
Who received these notifications?
Budget holders receive notifications for the cost centres they're responsible for.
Users with the Manage Budget permission receive notifications for all cost centres where a budget has been exceeded.
Good to know
You won't get repeat notifications while the exceeded amount stays the same.
You'll get a new notification only if the exceeded amount increases,
Notifications are processed periodically, so it can be a short delay after a transaction is posted.
Customers and supplier
Find a Customer/Supplier ( Quick action )
Look up a customer or supplier record directly from your navigator screen.
Place a Customer/Supplier on hold ( Quick Action )
Put a customer or supplier record on hold, or take it off, all without leaving the screen.
Invoices
Due invoices ( Quick action )
A live list of invoices coming due or already overdue, ready whenever you need to check it.
Customise your navigator screen
You can personalise your navigator screen to show the information most useful to you. When you first login to the Navigator Screen you will see a button called NEW Explore X new apps.
Click on this button and you will be given a list on new options you can add to Navigator.
Once added you can then add these as a quick action or to the quick panel.
Configuring your available apps
Each section ( quick actions, quick panels, quick sections etc.) will have a configure button from which you can select the apps you have available in your navigator screen. This works for both web and mobile. Your admin will be able to control the default apps you have, but feel free to explore other available apps and see what works for you.
Trying new apps
Every time there is a new app, or updated app available, you will find these shown in the banner at the top of your navigator screen. Tap this banner to find out more and try the new functionality out.
Admin Setup
As an organisation administrator, you can configure which Quick Panels, Quick Actions, and Quick Sections are accessible to your users. You can hide items entirely or pin them so users always see them and cannot remove them.
There are two states you can apply to any item:
Hidden : the item is not visible to users at all and cannot be added by them.
Pinned : the item always appears in the user's Navigator and cannot be removed by them.
📌Note: Any new items added to Navigator are visible to users by default. You need to explicitly hide them if you don't want users to see them.
Configure availability for your organisation
Open Navigator Admin.
Click Availability.
Click Configure on the Organisation Defaults card to begin adjusting your settings.
You will see three sections, each showing the current number of configured items:
Quick Panels.
Quick Actions.
Quick Sections.
Click Configure next to the section you want to manage.
In the panel that opens, browse or search the available items on the left.
Click + next to any item to add it to your configured list on the right.
For each configured item, use the pin icon to pin it, or the hide icon to hide it from users.
Click Save Changes.
Changes take effect the next time your users load Navigator.
📌Note: Some items may show an Access badge — these have been configured by Access on your behalf to ensure you get the best experience out of Navigator.
