What's new

Education Purchasing – Support for Analysis Codes

We have made a series of improvements to the Education Purchasing integration that bring full analysis code support across the solution.

Analysis codes are now included in the nightly data sync to Education Purchasing, alongside your existing cost centres, ledger codes, and fund codes. No setup is required — the sync runs automatically overnight, so your analysis codes will be available to select when raising purchase orders or invoices in Education Purchasing the following day.

When invoices and credit notes are imported from Education Purchasing into Education Finance, the code logged under analysis code on a transaction line will now be recognised and applied as the analysis code in Finance. This means your imported transactions will accurately reflect the coding entered in Education Purchasing, without the need for manual correction after import.

To take advantage of this, ensure that analysis codes are selected when entering transactions in Education Purchasing. When the transaction is exported and imported into Finance, the analysis code will be populated automatically on each line.

Ledger Code Descriptions Added to Outstanding Orders Details Section on the Budget Holder Report

The Outstanding Orders Details (Committed) section of the Budget Holder Report now includes the ledger code description alongside the ledger code itself.

Previously, only the ledger code was shown in this section, meaning users needed to cross-reference descriptions separately to understand what each committed order related to. The description is now displayed in its own column, making it straightforward to verify order coding and review committed expenditure by category without leaving the report.

This improvement applies both to the on-screen view and to exported versions of the report.

How to access

  1. Navigate to Reports, then click Budgets Holders.

  2. Select Budget Holders.

  3. Run the report for your chosen cost centre and period range.

Reverting an Open Financial Year

We have made a change that makes it possible to revert a financial year that has been opened by mistake directly within the system.

Previously, if a financial year was opened, there was no way to undo this action. The financial year would remain open with no route to return it to "Not Started" status, which could cause complications when managing your year-end activities.

You can now revert an opened year back to "Not Started" status yourself in just a few steps:

To revert your open financial year, navigate to your financial year setup area, select the year that was opened in error, and choose the option to revert it to "Not Started." The year will return to its previous state and can be opened again when you are ready.

📌Note: This option is intended for years that have been opened in error and where no transactions have been posted in that year.

Attachment Limit on Transactions Removed

The previous five-file limit on attachments at the transaction level has been removed. You can now attach as many files as you need to a single transaction.

This is particularly useful when a transaction requires multiple pieces of supporting evidence — for example, an invoice, a delivery note, an approval email, and a purchase order — all of which can now be attached together in one place rather than split across separate records or stored externally.

Please note, the individual file size limit of 10MB per file remains in place, and the line-level attachment limit of one file per line item is unchanged.

To add attachments, open the relevant transaction and use the attachments section as normal — there is no change to how files are uploaded, only the removal of the previous count restriction.
